How to send a quick email to a list of participants

Send targeted emails directly to participants from the list view by filtering, selecting, and composing your message.

1. Step-by-step guide

  1. Go to the participant list:

    • Navigate to Orders > Attendee list

  2. Apply filters:

    • Add filters to target only the participants you want (e.g., by reservation date or date range).

    • Important: Always add the filter Booking state = Completed & Payment state = Completed

      • This ensures you only contact customers with confirmed reservations, not those with lost baskets or unpaid bookings.

  3. Check the number of results:

    • The system will show how many participants match your filters.

  4. Select all participants:

    • Tick the checkbox at the top of the first column to select all rows.

    • Confirm by clicking the banner that appears above the table (e.g., "Select 100 participants").

  5. Send an email:

    • Click the Actions button at the top right.

    • Choose Email selected attendees

  6. Write your email:

    • A new page opens where you can enter the subject and body text of your message.

    • Once ready, send the email to all selected participants.

3. FAQ & quick fixes

  • Problem: Some participants with “Lost basket” are still appearing.

    • Solution: Double-check that you added the filter Booking state = Completed

  • Problem: The number of recipients looks too low.

    • Solution: Review your date filters—ensure you picked the correct day or range.

4. Limits

  • Works only from the participant list view.

  • Emails are sent to selected participants at once (no scheduling feature).
