How to manage your seating plan

Learn how to manage your seating plan, monitor reservations, and analyse booking statuses in Smeetz for better event control.

A seating plan can only be managed for existing events.

Seats.io integration

Your Account Manager must have linked the seating plan to the Smeert product

2. Step-by-step guide

Step 1: Access your seating plan

  1. Go to the Catalogue tab.

  2. Click on Seating plan.

  3. Select the product (event) you want to manage.

  4. If multiple dates exist, choose the desired event date.

Step 2: Analyse the Summary section

The Summary tab provides an overview of your reservations:

  • Created on → Event creation date in Smeetz.

  • Capacity → Total number of seats.

  • Free seats → Seats not yet booked.

  • Booked seats → Seats reserved via quote or unpaid order.

  • Paid seats → Seats fully paid by customers.

  • Scanned seats → Seats scanned at the venue (guests already inside).

  • Reserved seats → Seats temporarily held:

    • Via widget booking → Held during checkout. If paid, moves to Paid.

    • Via “Create a Sale” → Held until timer runs out or “Update Document” is pressed. Then moves to Booked or Paid, depending on balance.

Other keys:

  • Chart key → Connects the seating plan to Smeetz.

  • Event key → Created by Seats.io for this event (at the bottom of the page)

Step 3: Analyse the Status section

Each seat is displayed with a status colour:

  • 🟢 Green = Free seat (available)

  • 🔵 Blue = Reserved (temporarily held)

  • 🟡 Yellow = Booked seat (quoted or not yet paid)

  • 🔴 Red = Paid seat (fully paid)

  • Grey = Scanned seat (guest already checked in)

    • On event day, this gives you a real-time overview of how many guests are seated.

👉 Tip: Hover over a seat to quickly see the seat number and the customer’s name.

If you need more details, click on a red or yellow circle to open the full customer booking details page.

3. FAQ & quick fixes

  • Problem: Reserved seats don’t update.

    • Solution: Press Update Document to refresh the booking status.

4. Limits

  • Reserved seats are temporary until payment or manual update.

  • Seats can only have one active status at a time.
