How to create and allocate seating plan channels

Reserve specific seats so they aren’t available to the general public, but can be distributed through dedicated channels.

This feature lets you reserve specific seats—for example, for a sponsor or guest list—so they are hidden from the general public but can still be offered through a dedicated channel.

1. Before you start

  1. Go to the Catalogue tab.

  2. Click on Seating plan.

  3. Select the product (event) you want to manage.

  4. If multiple dates exist, choose the desired event date.

Step 1: Create a channel

  1. Click on Manage in your event dashboard.

  2. Select “Create channel”

  3. Rename the channel by clicking the system-generated name and typing your preferred name.

    • Tip: Use clear names like “VIP,” “Staff,” or “Sponsor A” for easy tracking.

  4. Confirm the channel.

    • Note: Channel names and colours are only visible to you in the event manager—ticket buyers will never see them.

Step 2: Allocate seats to a channel

  1. Open your seating plan.

  2. Select the seats you want to reserve.

  3. Click the channel button (e.g., Partner).

    • The selected seats will now be highlighted with the channel’s colour.

  4. Click Apply to confirm.

    • From now on, these seats are assigned to the chosen channel and won’t be available to the general public.

Step 3: Remove seats from a channel (if needed)

  1. Select the seats.

  2. Click No Channel.

  3. Confirm to make these seats available again for public sale.

Step 4: How to book a seat blocked by a channel

  1. Go to the Smeetz back office

  2. Create a new sale

  3. Select the product and ticket

  4. When selecting a seat, make sure to choose the correct channel in order to book those seats.

3. FAQ & quick fixes

  • Problem: Seats are still showing as available to the public.

    • Solution: Double-check that you clicked Apply after assigning them to a channel.

  • Problem: I can’t find my channel.

    • Solution: Look under Manage > Channels to see a full list and edit names/colours.

4. Limits

  • Channels are only for internal seat allocation, not visible to buyers.

  • Seats can only belong to one channel at a time.

  • Seats in channels must be distributed via internal sales only. They are not visible in the booking widget.

  • Even on internal sales, the channel but be selected to allow you to book those seats.
