How to build your own reports and dashboards

Where the report builder is, what it can do, and how to build and publish a dashboard in six steps.

Build your own reports and dashboards from your venue's data, save them, and share them with your team. This guide shows you where the report builder is, what it can do, and how to build a dashboard in six steps.

1. Where to find the report builder

📌 How to access: app.smeetz.com > Analytics > Report builder

The report builder opens on the Hub. You will find:

  • Your account folder (named after your account): the reports Smeetz prepared for you. If you used the previous report builder, your reports are already here, one folder per report.

  • My documents: the reports and dashboards you build yourself. They are private to you until you share them.

  • Shared with me: what your colleagues have shared with you.

You only ever see your own venue's data.

2. What you can do

  • Explore your data in a workbook. Pick a topic (sales, attendance, journal entries), choose the figures and breakdowns you need, and get a table or a chart. No formulas, no exports to a spreadsheet first.

  • Filter and compare. Narrow a report to a date range, a product, a point-of-sales or a sales channel. Group by day, week, month or year.

  • Build dashboards. Put several charts on one page, add filters at the top, and publish it. Open it again any time with fresh data.

  • Ask a question. Choose New > Chat and type your question in plain language, for example "net revenue by month this year". You get the table and chart, ready to refine.

  • Save, share and export. Save your work, share a dashboard with colleagues of your account, and download any table as a CSV or Excel file.

3. Build a dashboard in six steps

The example below builds a dashboard of net revenue per month with a date filter. Use the same steps for any figure.

Step 1 - Start a workbook

Click New (top right) > Workbook.

Step 2 - Choose a topic

A topic is a set of related figures. Type sales in Choose a starting point and click Sales.

Step 3 - Add your figures

Use the search box on the left to find a field, then click it to add it. For this example:

  1. Search net revenue and click Net Revenue.

  2. Search transaction date, open Transaction Date and click Month.

The table runs by itself as you add fields. Fields with a # are figures, fields with an A are breakdowns.

Step 4 - Turn it into a chart

Click Chart above the table. The report builder picks a chart for you. To change it, open Options and choose another type under Chart selector.

Step 5 - Save your work

Click File > Save. A name and a description are suggested. Keep them or type your own, then click Save.

Step 6 - Create the dashboard and publish it

  1. Click Presentation (top right) > Dashboard > Create dashboard. Your chart appears as a tile.

  2. Click Add > Filter, search transaction date, select it and click Add. The filter appears at the top of the dashboard.

  3. Click Publish.

✅ Your dashboard is ready. Open it from My documents. Every time you open it, it shows the latest data.

4. Share, export and good to know

  • Share: open the dashboard and click Share. You can share with colleagues of your account who have opened the report builder at least once.

  • Export: on any table or chart, click the download icon to get a CSV, Excel or image file.

  • Edit later: open your dashboard and click Edit. Your changes stay in a draft until you click Publish.

  • Add more charts: in the workbook, click + at the bottom to add a query. Each query becomes a tile on the dashboard.

⚠️ Reports you build are private to you. Smeetz does not see or edit them. Keep a copy of anything important by saving it.

5. If your reports came from the previous report builder

Your migrated reports show the same figures as before; we checked every report line by line. A few things work differently and are kept on purpose:

  • Data refresh: the Sales topic updates every 4 hours and Attendance & scans every 15 minutes. Reports built on the Journal entries topic (sales line by line, with customer details) are rebuilt once a day in the early morning: they show the previous day complete, and today's sales appear the next morning. The previous report builder read live data. Daily figures match once the day is complete.

  • Date filter: each report has one date filter at the top, set to a rolling window by default. Set it to the dates you used to save in your report.

  • Archived areas: scans made in an area that was archived later stay in your attendance figures. The previous report builder removed them retroactively.

  • Scans from partner access systems: a scan received from a partner turnstile or reader counts as soon as it happens, even before the ticket type is known. The previous report builder only counted it once typed.

  • Gift-card vouchers at the gate: a gift-card voucher scanned at the entrance is no longer counted as a ticket. The previous report builder typed it as a ticket.

  • Month-by-month bars: charts comparing months per product show one bar per month and product; the weekly colour split inside each bar is not shown. The totals are the same.

  • Grouped tables: tables with subtotals open collapsed. Click a row to expand it.
