Learn how your festival programme published in Fiona reaches Smeetz, what Smeetz creates automatically, and what you need to prepare before your first publication.
1. What the integration does
Fiona is the festival management system where you build your programme: films, screenings, venues, guests, accreditations and badges.
Smeetz is where you sell and control access: your products, tickets, orders, memberships, payments and scanning.
When you publish a show in Fiona, Fiona sends it to Smeetz immediately and Smeetz creates the matching sales items. There is no import file and no scheduled sync. Publishing in Fiona is what triggers everything.
The connection runs one way only. Fiona sends data to Smeetz. Smeetz does not send data back to Fiona.
2. How your Fiona items appear in Smeetz
The two systems use different words for the same things. Use this mapping when you compare what you see on each side:
A Fiona activity becomes a product in Smeetz, usually one per venue or screening room.
A Fiona show becomes a ticket category inside that product. One screening equals one ticket category.
A Fiona audience type points to a pricing grid in Smeetz. A pricing grid is a reusable set of prices, so you define your prices once and reuse them across every show.
A Fiona badge or batch points to a membership in Smeetz.
⚠️ Products are named after the venue, not the film title. If you need to track revenue per film, use the per ticket category figures in your statistics rather than the product name.
3. Prepare your Smeetz account first
Fiona cannot create everything. Set these up in your back-office before you publish anything from Fiona.

Create your pricing grids, one per audience type you use in Fiona. For example one grid for regular screenings and one for invitation-only screenings.
Open each grid and note the four-digit number in your browser address bar. That is the pricing grid ID you will enter in Fiona.
Create your memberships for each badge type you issue, then note the membership ID in the address bar the same way.
✅ Once your grids and memberships exist, you are ready to connect Fiona.
4. Connect Fiona to Smeetz
This step happens in Fiona, not in Smeetz. Your Fiona administrator does it once per festival.
In Fiona, go to Settings > Integrations and add a new Smeetz integration.
Enter the base URL and the API key for your Smeetz account. Ask your Smeetz contact for both.
Map each audience type to the matching Smeetz pricing grid ID from step 3.
Map each badge or batch to the matching Smeetz membership ID.
⚠️ Check that the API key belongs to the right Smeetz account before you publish. A key from another account will send your shows to the wrong place.
5. Publish your programme
You do not need to create venues or screenings manually in Smeetz.
When you publish a show in Fiona:
Fiona checks whether a product already exists for that festival year and venue.
If it does not exist, Fiona creates it, named as festival year followed by the venue, for example FTO 2026 - Kino 1.
If it already exists, Fiona reuses it and adds the new screening as a ticket category underneath.
The prices from the linked pricing grid are applied to the screening automatically.
⚠️ Delete any venues you created manually in Smeetz before your first publication. Fiona creates them with its own naming and you would end up with duplicates.
6. Finish the setup in Smeetz
After all your shows are published from Fiona, three things remain on the Smeetz side.
Create your sales collections to group screenings for display.
Link your screenings to those sales collections. If you have more than 100 screenings, ask your Smeetz contact to run this in bulk rather than doing it one by one.
Add the sales widgets to your website. Each published screening returns an identifier made of the product ID and the ticket category ID, separated by an underscore. Give these to your web team so each film page opens the right sale.
