Use the new Smeetz Scanning App

This article presents you how to access our Android scanning app and how to start scanning your customers ticket.

1. Overview of the Smeetz Scanner App

The Smeetz Scanner App is designed to streamline entry management for venues, events, museums, festivals, and more. It uses QR code/barcode recognition to validate tickets quickly and prevent fraud. Real-time attendance data is sent to your Smeetz Back Office, so you can monitor how many guests have checked in at any time. The app supports multiple devices working in parallel across different entry points with consistent results.

Key features:

  1. Fast Ticket Scanning: Instantly validate tickets using the device camera or a scanner. Clear colour feedback (green/yellow/red) shows if a ticket is valid, used, or invalid.

  2. Scan In / Out Modes: Track both entries and exits — ideal for events with re-entry or to monitor attendance in real time.

  3. Group Scanning: Validate several tickets in a row for groups or families.

  4. Live Attendance Tracking: View sold vs. scanned tickets instantly to monitor turnout.

  5. Back Office Sync: All scans (entries, exits, timestamps) automatically sync to the Smeetz Back Office for reporting and analytics.

  6. Configurations and Areas (New): Set up entry points in the Back Office (e.g. Main Gate, VIP Gate) and define which tickets are valid at each. Staff simply select an area and scan.

  7. Scanning Sessions (New): Group scans by time slot or show to analyse attendance — especially useful for memberships or season passes.

2. Download the Smeetz Scanning App

The Smeetz Scanner app is currently available for Android devices (via the Google Play Store). Ensure you have an Android smartphone or a dedicated scanner device (such as a Zebra handheld scanner) running Android.

  1. Connect to the Google Play Store with a Gmail account (important to be logged for updates)

  2. Download the App: Search for “Smeetz Scanning App” on the Google Play Store and install it (it may also be listed as Smeetz Scan).

Device Compatibility: The app uses the camera and requires an internet connection to validate tickets. For dedicated scanners (with built-in barcode readers), the app is compatible – you’ll just need to configure the scanner’s settings (see Scanner Hardware Setup below).

If you are using an iOS device, the scanning app is NOT currently available on iOS.

3. Login

Before logging in, make sure that the areas and configurations are set up in the back office. If your user is not linked to a configuration, you will not be able to use the scanning app!

Purpose: Securely access your personalised scanner configuration.

How to:

  • Open the Scanner App.

  • Enter your email and password (the same as the back-office app)

  • Press Log in.

What's new?

🔒 Only users who have been granted access in the Back Office can view or edit the configurations assigned to them.


4. Choosing a configuration

Purpose: Select the right scanner setup for your location and responsibilities.

How to:

  • After logging in, you will see a list of configurations assigned to you.

  • Each configuration includes:

    • Name (e.g. "Main Entry")

    • Mode: Entry / Exit / Dual

    • Assigned area

  • Tap the correct configuration → App loads the proper access rights.

What's new?

  • No more manual selection of ticket types or sales collection.

  • All area rules and validation behaviour are now bundled into the scanning logic.

5. Home screen

Purpose: Central hub for all actions: scanning, session control, manual corrections.

Features Overview:

  • 📷 Scan – Default screen; use your camera to scan QR codes.

  • 📊 Session Mode Button – Tap to open, view or manage a scan session.

  • 🧮 Manual Count – Adjust counts manually (e.g. if scanner was down).

What's new?

  • 🎛 Cleaner interface tailored to the selected config, the session management and manual scans can change depending on the config

  • 📦 All actions scoped to one assigned area — no risk of scanning in the wrong place.

6. Scanning tickets (Scan In & Scan Out)

Purpose: Validate tickets and memberships using QR code.

How to Scan:

  1. Tap “Scan” (default screen after selecting config).

  2. Point camera at QR code.

What’s New:

  • ✅ Fully automatic scan logic — no ticket type or event selection.

  • 🔄 Supports in/out tracking for re-entries and analytics.

  • 🕒 Enforces validation windows, entry caps, and cooldowns.

7. Managing scan sessions

Purpose: Create and track sessions (screenings, time slots) for clean analytics.

How to Use:

  1. Tap the Session icon on the home screen.

  2. Tap “Add New Session”

  3. Fill in:

    • Session Name

    • Start Time (can be current or past)

    • End Time

  4. Tap Open to start the session.

  5. You can also edit, close, or view stats for existing sessions.

What’s New:

  • ⛓ Sessions are not mandatory for scanning.

  • 📊 Their role is solely analytical: to link scans to timeframes.

  • 🚫 No overlap allowed: two sessions cannot overlap within an area.

8. Manual scan corrections

Purpose: Record missing visitor counts due to device or network issues.

How to Add Manual Scans:

  1. Go to the session screen.

  2. Tap ⋯ > Add Manual Scan (Screenshot 10 – 151227).

  3. Input:

    • Number of attendees (can add or subtract)

    • Timestamp

    • Optional: ticket type, price category, note

  4. Confirm — the counts are updated immediately.

What’s New:

  • 🧾 Manual counts are clearly labeled in analytics

  • 🔄 Integrated with scan session stats if timestamp matches.

  • 🛠️ Useful when the scanner is offline, or during large crowd corrections.

9. In-App statistics

The Scanner App now includes a built-in statistics view that helps users track visitor counts in real time. This is especially useful for screening-based events like film festivals, where teams want to monitor flow per session and per area.

🧭 Where to find statistics

  1. Quick Stats from the scan screen

    1. While you are in the scan screen, you can find the statistic icon on the top left.

    2. this quick stats icon is only displayed when there’s a session running in the current time for the scanner.

    3. By clicking on the icon, a pop(up showing the statistics of the current session is displayed.

  2. Check any session’s stats

  • If your configuration includes session management and analytics visibility, you’ll land on the Home Screen.

  • You’ll see a section labeled “Upcoming sessions” or “Current session”

  • By selecting a session you can see the in-app statistics

🔄 Real-time updates

  • Visitor counts update automatically every time you return to the session view.

10. Group scanning

On the top left of the scanning screen, you can activate the group scanning feature, which allows you to check all the tickets that are in one booking just by scanning one of the tickets.

How to scan for a group

  1. After activating the Group scan mode

  2. You can scan anyone of the tickets in the booking

  3. You can select which tickets you want to scan if not all the group is attending, otherwise you can scan for the whole group by selecting all the tickets.

  4. Upon confirmation, each of the tickets will be checked if it has the right to attend the area at that time

  5. The results of the scan of each ticket are displayed.
