How to manage your Smeetz account with Claude or ChatGPT (Beta)

This article walks you through what is possible, how to connect, and how to stay in control.


1. What you can do

Once Smeetz is connected to Claude or ChatGPT, you can ask your AI assistant to handle most day-to-day operations the same way you would in the back-office, across 58 available tools:

  • Open and adjust availability. Add new dates, create or remove timeslots, change capacity for one day or a whole season.

  • Manage your catalog. Create products, duplicate them, update prices, add ticket categories, activate or deactivate offers.

  • Run promotions. Create, edit, and delete promo codes. Check whether a code is still valid for a given booking.

  • Handle customer service. Look up a booking by reference, cancel tickets, reschedule, refund, or resend a confirmation email.

  • Manage memberships. Find a member, pause or resume their membership, pull membership sales or visit reports.

  • Pull sales analytics. Revenue, channel mix, product performance, discount usage, period-over-period comparisons.

  • Manage product and venue images. Upload, update, or remove pictures.

Your AI assistant only sees what your account can see, and can only do what your role allows.


2. How it works

Smeetz connects to your AI assistant through a secure standard called MCP (Model Context Protocol). Both Claude (Anthropic) and ChatGPT (OpenAI) support MCP, so you can choose whichever assistant you prefer.

When you ask your assistant to do something, it calls the relevant Smeetz action and shows you the exact arguments it is about to send. By default it asks for your approval on every write. Do not enable "always allow" for Smeetz write actions in your AI client, or refunds and deletions can run without confirmation.

⚠️ Data privacy. The data the assistant reads from Smeetz (products, bookings, customer details, revenue numbers) is processed by Anthropic or OpenAI under their terms of service.


3. How to connect

You will need a Smeetz user account with back-office access. The connection scopes every action to the venues your account already has access to. Smeetz is not yet listed in the public Claude or ChatGPT directories, so in both assistants you add the Smeetz MCP server URL as a custom connector.

  1. Open Claude.ai in your browser

  2. Go to Settings and select Connectors

  3. Click the + button and choose Add custom connector

  4. In Remote MCP server URL, paste: https://atlas-mcp.smeetz.com/mcp (make sure it starts with https:// and includes the full path, ending in /mcp)

  5. Click Add

  6. Click Connect and sign in with your Smeetz credentials

  7. Open any chat. The Smeetz actions will be available

Connect to ChatGPT

The steps below work for personal ChatGPT plans that support apps. On ChatGPT Business and Enterprise, custom connectors are installed by a workspace admin, not from Developer mode. Ask your admin to add the Smeetz connector at the workspace level.

  1. Open ChatGPT in your browser (a plan that supports apps is required)

  2. Go to Settings > Apps > Advanced settings

  3. Turn on Developer mode

  4. Click Create app and fill in:

  5. Click Create

  6. On the pop-up, click Sign in with Smeetz and authenticate with your Smeetz credentials

  7. Open a new chat, click the + button, then More. You will find Smeetz in the list

  8. Click Smeetz and ask anything in the chat (for example, "Show me my products")


4. Examples to try first

Open a new chat in Claude or ChatGPT and try these. Start with read-only prompts to get used to how the assistant calls Smeetz before moving to writes.

Daily operations

  • "Open 10am, 11am and 12pm slots for next Saturday with capacity 30 each"

  • "Reduce capacity to 20 on all Sunday slots in July"

  • "Add a Child price at 8 EUR on the standard tour"

Promotions

  • "How many times was BLACKFRIDAY used last year?"

  • "Create a 15% promo code SUMMER15 valid until end of August"

Customer service

  • "Show me booking REF456"

  • "Resend the confirmation email for booking REF456"

  • "Refund booking REF456". ⚠️ Refunds are irreversible. Confirm the booking reference, the amount, and the payment method on the approval card before approving.

Analytics

  • "What were total sales last month?"

  • "Compare last week to the same week last year"

  • "Which channel drove the most revenue in Q1?"


5. Safety and control

Three rules govern every action:

  • Same permissions as the back-office. If your role cannot perform an action in the UI, your AI assistant cannot do it either.

  • Approval is on by default, but you control it. Claude and ChatGPT ask you to approve every write tool call by default. Read the arguments on the confirmation card before approving. Do not enable "always allow" for Smeetz, or refunds, cancellations, and deletions can run without confirmation.

  • Full audit trail. Every action is logged under your user, exactly like a back-office action. If a write was a mistake, find it in the back-office audit log and reverse it the same way you would reverse a manual action.

⚠️ Anything that creates, updates, deletes, refunds, cancels, or reschedules is a real change to your account. Refunds and deletions are not reversible by the assistant. Treat each write the same way you would treat doing it in the back-office.


6. Current limits

  • The integration is in beta and available to selected venues today. Talk to your Smeetz account manager to enable it for yours.

  • Some advanced analytics still need to be pulled directly from your data warehouse.

  • Availability is fetched live, so timing-sensitive operations should be confirmed at the moment they are applied.
