Track how much work each of your resources (staff, rooms, and equipment) handles, and see how booking cancellations break down by resource type.

Quick overview

For each type of resource and venue, this dashboard shows the bookings it handled, the participants (tickets) it served, the hours it was occupied, and a breakdown of booking cancellations by how far ahead of the slot they happened.

Who this is for

  • Primary audience: on-site operations (venue and operations managers)

  • Secondary audience: none

When to use it

  • Decision it helps you make: rebalance staff, room, and equipment allocation and spot where last-minute cancellations concentrate, by comparing the bookings, participants, and hours each resource type handles against the previous period.

Why use this dashboard

See at a glance which resource types carry the most load, how many hours they are booked, and whether cancellations tend to be last-minute (under 72 hours) or well in advance. Use it to plan staffing and capacity and to catch late-cancellation patterns early.

Access and default filters

📌 How to access: app.smeetz.com > Analytics > Dashboards > Resources performance

  • Default date range: the last 7 days, with the previous period shown for comparison.

  • Data currency: the data refreshes roughly every 4 hours. Check the Last data refresh tile in the header for the exact time the figures were last updated.

Header band

  • Dashboard purpose: a one-line reminder of what the dashboard is for.

  • Last data refresh: the date and time the figures were last updated.

Headline figures

  • Bookings handled: the number of distinct bookings served by the resource type in the period.

  • Tickets handled: the number of participants (units) served across those bookings.

  • Total hours worked: the total hours the resource was occupied. Each figure is compared to the previous period.

Bookings handled in range

A table listing each booking a resource handled in the selected period: date, time, resource, resource type, booking reference, party (participants or units), and hours occupied.

Booking cancellations (estimated)

  • Bookings cancelled under 72h: bookings cancelled less than 72 hours before the slot (the most operationally disruptive).

  • Bookings cancelled 72h or more: bookings cancelled well in advance.

Example scenarios

  • Rebalance your team: if one resource type carries far more hours than others, use it to plan staffing or capacity.

  • Spot a late-cancellation problem: a high under-72h count for a resource type points to last-minute cancellations worth investigating.

Data freshness

  • How current is the data: the data refreshes roughly every 4 hours. The Last data refresh tile in the header shows the exact last-refresh time.

Known limitations

  • The cancellation figures are an estimate. Once a booking is cancelled, its link to the exact resource is removed, so cancellations are inferred from what the booking used. They are reliable at the resource-type level (staff, room, equipment) rather than for a single named resource, they cover only products that use resources, and they are meant for direction rather than an exact count.

  • A booking is counted as cancelled if any of its tickets is cancelled.
