Why use this dashboard

When you need to know which resources are busiest, when they are in demand, and where bookings clash, this dashboard turns your booking activity into occupancy and over-booking signals.

Key terms

Stock is any bookable resource with a limited capacity (a room, table, piece of equipment, tour slot, lane or boat). Each time slot of that resource is its own stock entry, with a start time, end time and a capacity.
Occupancy is one booking taking up a stock for a period of time. Three groups booking the same escape room across a day is three occupancies.
Over-booked means more bookings overlap on the same stock at the same time than its capacity allows. It flags a scheduling clash you may need to resolve.

Default date range: the last 30 days, based on each stock's start time.
How current the data is: the dashboard shows a Last data refresh time in its header; it updates from your live booking activity throughout the day.

Filter guide

Date range: sets the period the dashboard covers, based on each stock's start time (defaults to the last 30 days).
Period over period: adds a comparison period so every KPI shows the change versus that earlier window.
Stock type: limits the dashboard to one kind of resource (for example just rooms, or just equipment).

Visuals explained

Headline numbers

Occupancies: the total number of bookings held across all your stocks in the period.
Active stocks: how many distinct resources had at least one booking.
Distinct bookings: the number of separate bookings (one booking can occupy more than one stock).
Average occupancy (hrs): the average length of time a single occupancy ties up a stock.
Over-booked occupancies: how many occupancies fell on a stock that was over its capacity at that moment.
Over-booked rate: the share of occupancies that were over-booked. A low rate is healthy; a rising rate points to scheduling pressure.

Demand patterns over time

Occupancies over time (line): how booking volume on your stocks rises and falls across the period.
Occupancies by hour of day (bar): your busiest hours.
Occupancies by day of week (bar): your busiest days.
Over-booked rate (over time) (line): whether clashes are getting better or worse.

Where the pressure is

Over-booked rate by stock (top 15): the 15 resources with the highest share of over-booked occupancies.
Bookings per stock (table): each resource with its type, time window, how many bookings overlap, and whether it is over-booked.
Over-booked occupancies (table): the individual over-booked bookings, with resource name, booking reference, start and end time, capacity, and how many bookings overlapped. This is your action list for resolving clashes.

Data freshness

The dashboard header shows a Last data refresh time. Data comes from your live booking activity and updates throughout the day.

Known limitations

Over-booking is most reliable for resources that hold one booking at a time. For resources that can hold several bookings at once, treat the over-booked flag as a signal to check rather than an exact count.
The date range is based on each stock's start time, so changing the window changes which resources and bookings are in view.
