1. Where to check your retail products
Once your Retail products (with or without options) are created, you can consult them in 2 different tables.
Products > Retail Products
Catalogue > Retail Inventory: List all items with specific stock details.
2. Consult your Retail Inventory table
You can process your full stock Inventory via the Inventory table.
Catalogue > Retail Inventory.
You can create views to only see specific inventories:
Filter following your personal criteria to ensure you are only considering the articles that you want to check (filter by Sales collection, Product name, etc).
Filter per Modification date in order to ensure that you don't check an article twice.
Set up the filter → Modification date is before TODAY.
Filter by Status to focus on active inventory and exclude archived products from the view.
Note: archiving a product itself is done from Products > Retail Products. The Retail Inventory table only lets you filter archived items in or out.
2.1 How to adjust the stock on the retail inventory page
Consult each product/option by checking the available stock VS the real stock in the shop.
You can adjust the stock according to the real stock in the column "Available"
Add a message in case you know why a stock difference happened
All these changes are recorded in the Retail Inventory dashboard & Retail order table.
When adjusting stock, a price field will appear depending on the action:
When adding stock, the Purchase price incl. VAT field will appear — make sure to enter the actual cost price of the items you are adding.
When removing stock, a Cost price incl. VAT field will appear — enter the cost price of the items you are removing (what you originally paid for them), not the sales price. The two fields ("Purchase price" on stock-in and "Cost price" on stock-out) have different labels but they mean the same thing — both should always be the cost per unit of the stock you are moving.
⚠️ Quick rule for the price field — applies to BOTH adding and removing stock:
Whether the field is labelled "Purchase price incl. VAT" (when adding stock) or "Cost price incl. VAT" (when removing stock), the value to enter is always the same: the cost price per unit, what you paid for the item, never the sales price..
Leaving it at 0.00 or using the sales price instead of the cost price will result in incorrect, and sometimes negative purchase price and markup values
The system calculates the average cost price "Purchase price incl. VAT" directly from these inputs — wrong input → wrong output, with no automatic correction afterwards.
If you ever add or remove stock with a wrong cost price, please contact our Customer Support team directly — we can clean the historical data for you. Do not try to fix it yourself by adding new IN / OUT movements, as new entries do not cancel out the old ones and usually make the average even more wrong.
3. Process your inventory
Catalogue > Retail Inventory.
Click on Control your stock.
A window will open allowing you to make an inventory of all your items.
First step: Select the item you wish to check
You can search for your items using the following information (see image below).
Product/article name
Barcode
SKU
Second step: Adjusting stock quantities.
Please enter here the quantity you have in stock in the section circled in red on the screenshot.
You can also add a message stating the reason. This message will appear in the "Shop order" table in the "message" column.
Click Next item to confirm your changes.
Step 3: Continue or complete your inventory.
You have just updated the stock of your first item. You now have 2 options:
Repeat Step 1 to update another item.
End inventory - To close this window.
4. Consult your manual stock movement
In the Retail order table, you can create views to track all Manual In & Manual Out stock movement by filtering.
Create a view with Stock movement (Manual In & Manual out) which gives all the stock movement coming from the Inventory table (not from the POS or Online sales).
Manual In: New products added to the stock.
Manual out: Product removed from the stock.
From there you can see all movement but also comments that were added.
