This guide outlines the key information needed when requesting a seating plan.

Creating a seating plan is a crucial step in setting up your event for ticket sales. To ensure a smooth and efficient process, it is essential to provide all required details upfront.

1. Seating plan request process

Every seating plan request must be submitted at least 2 weeks before the expected delivery date.

Once finalized and put on sale (through Smeetz), it CANNOT be changed. This means:

  • The number of seats and rows cannot be adjusted.

  • Pricing and category assignments are locked in.

  • No further changes can be made once the seating plan is live.

Providing complete and accurate information from the beginning will help avoid delays and ensure a seamless setup for your event. If you have any questions, feel free to reach out to our support team before submitting your request.

2. Information required for a seating plan request

2.1. Design file (format and specifications).

  • Seating plan whole picture.

  • Seating location for each aera.

  • Seating numbers of each seats appearing on the seating plan.

  • Row of each row of the seating plan.

2.2. Category details (name, price, color).

  • Name of each pricing category and a clear indication of which seats fall under each category on the seating plan.

  • Different prices must be determined in advance, as they will be directly linked to the category names on the seating plan. Any changes to seat allocation between price categories will require a modification to the seating plan, which can take up to one week.

  • If there are different seating levels or sections, this should be clearly stated.

2.3. Seating Plan Mode

  • Strict Mode (Default): Ensures that all seat selection rules are enforced, preventing single-seat gaps ("orphan seats") and other constraints to optimize seating arrangements.

  • Lenient Mode (Optional): Available upon request, this mode provides more flexibility in seat selection, which may help maximize sales if strict rules are perceived as too restrictive. Seating Plan Request Process.

2.4. Specific requirements

  • The stage must be indicated if required.

  • Exit locations should be clearly marked on the seating plan.

  • Structural elements such as entry points or architectural features that help with orientation should be specified.

  • Any extra seating rules, such as preventing single-seat gaps ("orphan seats"), where attendees must book seats in groups instead of leaving single empty seats, should be clearly defined.
