1. Staff training and access

To ensure a smooth check-in and sales process, set up staff access in advance.

Private access

  • Invite staff to your Smeetz account and assign roles

  • Staff have 48 hours to accept their invitations

  • Provide login credentials ahead of time and ensure each team member knows how to log in

Scanning access

  • You can use a shared login across all scanning devices

  • For faster access, generate and print two QR codes:

    • One for the email address

    • One for the password

  • This allows staff to scan both codes and log in within seconds

  • You can generate text QR codes here and keep them easily accessible on event day

Training recommendations

  • Train your team to use the POS and scanners

  • Designate at least one expert user who can support others during live operations

2. Entrance optimisation

  • Print QR codes at the entrance to redirect buyers to the online booking flow and reduce queues

  • Remind attendees to have their tickets ready as they approach

3. Common mistakes to avoid

Scanner settings

  • Double-check date and product settings before scanning

  • Fully charge scanners the night before the event

Equipment setup

  • Test and charge all devices before operations begin

  • Keep extension cords and extra plugs on-site

Wi-Fi/4G

  • Keep your 4G hotspot close to the devices

  • Have a backup hotspot in case of failure

  • Public Wi-Fi can also be made available for guests needing to retrieve tickets
