1. How to access an order
Go to Orders, please select Attendee list or any other list.
Search for the booking with the participant's name or with the booking reference.
Click on the booking reference to access the order.
2. How to edit an order
Click on Edit order.
It will direct you to a page similar to the "Create a Sale" page. The latter will already be pre-filled with the booking details in question.
3. How to add or cancel tickets to an order
You can easily add or cancel tickets to the order details.
If customers want to add tickets or add-ons to the booking, they will have to pay the difference which will be displayed as a negative balance at the end of the Order overview section. Add a payment of the matching discrepancy to have a balance of 0, which means that payment amount matches the tickets value.
Finally, click on update the sale and send the new reservation to your customer.
If the customer is onsite, please insert the payment method used on-site.
If the client is not onsite, please indicate that payment must be made either by invoice or on-site.
If you have more than one ticket on a booking, you can choose to cancel all tickets or only a few.
4. Order balance
The order balance is the total obtained by subtracting the payment amount from the value of the tickets:
An order that has been paid in full has a balance of 0, meaning that the payment is equal to the amount of tickets.
A positive balance means that a payment is missing; add the missing payment or cancel tickets equal to the missing payment.
A negative balance means that there is an overpayment; issue a refund for the excess amount or add tickets equal to the overpayment.
5. How to change a booking date
There are two ways of editing a booking's date:
By cancelling the tickets and adding new tickets to the new desired timeslot as shown previously.
This is the only method to change a timeslot for tickets with add-ons, as add-ons must be created manually.
Note, that if you have more than one ticket on a booking, you can choose to cancel all tickets or only a few.
By clicking on change time slot straight from the order overview:
On this page you will have the recap of the curent booking details your changing on the left and the new booking options on the right.
Not only you will be able to change the date and time of your existing booking, but also change tickets type, quantity and price.
You can change up to the same amount of tickets that was originally booked but you cannot add new tickets with this feature.
Add-ons will also be updated accordingly by using this feature.
This action will cancel current tickets and create new ones on the new desired date. It will only work for tickets with multiple dates.
It impacts all the tickets on the booking at once.
If only the date and time of the booking have been changed (without adding tickets or add-ons), you can update the sale and close the booking, an email will be sent to the customer.
