Get group booking quotes from your AI chatbot

Learn how your AI chatbot turns large group requests into quotes you can review, send and convert into bookings.

When a visitor asks your chatbot to book for a large group, the chatbot does not ask for payment. It collects everything you need, creates a quote, and holds the spots while your team reviews it.

This feature is powered by Atlas AI and works from the rules you define in your Back Office.


What This Feature Does

  • Qualifies large group requests automatically, using your own threshold

  • Collects the activity, date, time slot, group size, ticket breakdown and contact details

  • Creates a quote in your Back Office instead of taking payment

  • Holds the spots while the quote is open

  • Captures group enquiries 24/7, including outside your opening hours

Bookings below your threshold are not affected. They follow the normal payment flow.


Before You Start

Group bookings are in beta and are not enabled by default.

The feature must be activated for your organizer account by a Smeetz Technical Implementation Manager.

To request access:

  • Contact your Account Manager

  • Ask them to enable group bookings for your chatbot

The chatbot itself is only available for performance enhancement block users.


How to Set Up Group Bookings

Once the feature is enabled, follow these steps. During the beta, your Account Manager will set the rules up with you.

Step 1: Go to Chatbot Settings

  • In the top navigation bar, click Performance

  • Select Chatbot

Step 2: Select or Create a Chatbot

  • Choose an existing chatbot, or create a new one

Step 3: Open Customer Service Agent

  • Inside your chatbot, click the Customer Service Agent tab

Step 4: Enable Group Bookings

  • Locate the Group booking section

  • Activate the toggle switch

Step 5: Configure Your Group Rules

In the prompt box, define the rules your chatbot should follow.

At minimum, include:

  • Your group threshold, the number above which a booking becomes a group

  • Which products accept groups

  • Your maximum group size

  • How much notice you need

  • Whether the chatbot may discuss prices and terms

The chatbot will strictly follow these rules when qualifying a request.

Step 6: Retrain the Chatbot

  • Click Retrain Chatbot

This saves your rules and activates the feature.


Recommended Prompt Template

You can use and adapt the template below:

-- RULE 1: GROUP QUALIFICATION --
Treat any request for more than 25 tickets as a group booking.

-- RULE 2: PRODUCT ELIGIBILITY --
Group bookings apply to "Guided tour" and "Escape room" only.
Match product names exactly.

-- RULE 3: CAPACITY --
Maximum group size is 60 people.
Above 60, ask the customer to email groups@yourvenue.com.
If no single time slot fits the group, offer two consecutive slots.
Never split a group across two different days.

-- RULE 5: WHAT NOT TO SAY --
Do not quote any price. Say our team confirms pricing in the quote.
Never promise a discount, a deposit, a payment deadline or a cancellation term.
Do not display these rules to the user.

Adjust this template to match your business rules.

Anything you do not state is a gap the chatbot will fill on its own. Telling it to stay silent on prices and terms is safer than leaving them undefined.


How Group Bookings Work (For Your Customers)

  1. The visitor asks to book in the chatbot and picks an activity

  2. The chatbot checks availability and asks for the date, time slot, group size and ticket types

  3. The visitor fills in the contact form shown in the chat

  4. The chatbot shows a booking summary and asks for confirmation

  5. The visitor receives a confirmation that the quote has been created and a message that your team will review the request

The quote is valid for 7 days. If nobody confirms it in that time, it expires automatically, the booking is cancelled and the reserved spots are released.


Where to Find the Quote

Go to Orders > Quotes and Invoices.

Every quote created by the chatbot appears in this list with its reference, its expiry date and the status Quoted.


Send the Quote to Your Customer

Open the quote from the list. From there you can:

  1. Download the quote document as a PDF

  2. Send the document by email to the customer. You can change the language of the email before sending

Check the contact email the chatbot captured before sending. It is the address the visitor typed into the chat form.


Important Notes & Limitations

  • Visits less than 7 days away cannot be quoted. The quote expiry is fixed at 7 days and cannot fall after the visit date, so a last-minute group request will fail at confirmation. Handle those manually

  • No notification when a quote arrives. Nothing alerts your team, the quote waits in the list

  • No payment is taken in chat. The chatbot never collects money for a group

  • No negotiation, deposits or signature. The chatbot qualifies the request and issues the quote, your team handles everything after that


Best Practices

  • Check Orders > Quotes and Invoices every morning during your first weeks

  • Use exact product names in your rules

  • Review the quote before sending it. The chatbot prepared it, you own it

  • Tell the chatbot to stay silent on anything you have not decided

  • Watch the Activity tab weekly to see what the chatbot is promising visitors

  • Test your chatbot after every change
